HLC#23-002: Review of the Event Recap Report for the Historic Downtown Mansfield Community Activation Grant related to Historic Preservation Month 2023

 

Description/History

On March 6, 2023, the City Council approved a Historic Downtown Mansfield Community Activation Grant to fund the Commission’s proposed Historic Preservation Month activities. The grant was in the amount of $6,304.00.

 

As a condition of the grant, the Commission must submit an Event Recap Report within 30 days of the end of the event, including a financial accounting and participation counts. The attached report contains the details of the events and the cost of the events.

 

The Commission had $6,304.00 available for the three core events: the Historic Downtown Mansfield Car Show, the Historic Mansfield Chalk the Walk Contest, and the Mansfield History Hunters Scavenger Hunt. In addition to the grant, another $2,000.00 from donations was available to help with the non-core events, including funds from the Mansfield Historical Society for the This Place Matters: 31 Days of May campaign.

 

The Commission used $2,322.44 in grant funds for the three main events. Private funds covered $1,368.61 of expenses for both the main events and other activities. Additionally, Staff was able to save funds on some of the expenses:

 

                     Staff borrowed two canopies instead of renting them, saving $1,200.00.

                     The exhibition chalk artist, Eddie Phillips, donated his work, saving $1,000.00.

                     Supplies (such as water) for the first event were enough for the remaining events, so that new supplies were not needed.

 

Participation for all the core events was anticipated at 200 participants and visitors. The actual count was 194 for the car show, 53 for the chalk art contest, 59 for the scavenger hunt and 54 for the walking tours. The total count for May was 360.
